Team & roles

Invite teammates and clients to your serp.ac account, give each person the right role and switch between the accounts you belong to.

Your serp.ac account can be shared. Invite colleagues, freelancers or clients, decide what each person may do, and everyone works on the same projects, keywords, prompts and links. No one has to share a password.

This guide is for account owners who want to add people, and for team members who were invited to someone else's account.

How accounts and roles work

Every person who signs up gets their own account and is its Owner. As an owner you can invite other people into your account. Each invited person gets one of three roles:

Role What they can do
Admin Everything, including billing, team and API keys
Editor Create and edit projects, keywords, prompts and links
Viewer Read-only access to projects and reports

Behind the scenes serp.ac checks four kinds of permission:

  • View projects, data and reports: everyone (Owner, Admin, Editor, Viewer).
  • Edit projects, keywords, prompts and links: Owner, Admin and Editor.
  • Billing (plan, add-ons, usage packs, credit codes): Owner and Admin.
  • Manage (team, API keys, branding, integrations, notification preferences): Owner and Admin.

If someone tries something their role doesn't allow, they see "You don't have permission to do this in this account."

What is shared

Everything in the account belongs to the account, not to the person who created it:

  • Projects and all their data (rankings, AI visibility, backlinks, purchased links, audits, reports).
  • Plan limits and quotas. Members use the owner's plan. A keyword added by an editor counts toward the account's keyword limit.
  • Notifications. Alerts about the account's projects go to the account's notification settings: the owner's email and Telegram, plus the Slack or Discord webhooks set up for the account. Members see them on the Notifications page while they work in that account.
  • The getting-started checklist. Members see the account's checklist. Steps their role can't do are read-only.

Each member keeps their own account too (My account in the account switcher). Joining a team doesn't move or share anything from it.

Seats per plan

The number of people you can invite depends on your plan. You, the owner, don't use a seat.

Plan Team members you can invite
Starter 1
Pro 5
Agency 25

Pending invitations count as seats until you remove them. The Members card shows how many you're using, for example "2 of 5 seats used on the Pro plan". When all seats are taken you'll see All seats are used. Upgrade your plan on Billing to add more people. See Billing & plans.

Invite someone step by step

  1. Open Settings → Team. Only owners and admins can invite people.
  2. In the Invite someone card, enter the person's Email.
  3. Choose a Role. Editor is selected by default. Pick Viewer for clients who should only look, or Admin for someone who also handles billing and API keys.
  4. Click Send invitation. serp.ac emails them a link that looks like /invite/<token>.
  5. The person appears in the members list as Pending. If the email doesn't arrive, copy their link from Invitation links (if the email didn't arrive) under the list and send it yourself.
  6. The invitee opens the link. If they aren't signed in, they choose Sign in or Create account.
  7. They must sign in with the exact email address you invited. If they're signed in with a different one, the page says so and they need to switch.
  8. They click Accept invitation. They land on the dashboard of your account, and their status changes to Active.

There's a daily cap on how many invitations one account can send. If you hit it, try again the next day.

Working in several accounts

If you belong to more than one account, open your profile menu in the top-right corner. Under Switch account you'll see every account you can work in. Your own is listed as My account, and the active one is marked with a dot. Pick one and serp.ac opens its dashboard.

While you work in someone else's account, Settings → Team shows a note like "You're working in Acme's account as editor."

Changing roles and removing people

  • Change a role: in the members list, owners and admins click the role they want (Admin, Editor or Viewer) in that person's row. The change takes effect on their next action.
  • Remove a member or cancel an invitation: click Remove and confirm. They lose access to the account right away, and a pending invitation link stops working. Their own account isn't affected. Nothing they created in your projects is deleted, because it belongs to your account.
  • Leave an account yourself: as a member, switch into that account, open Settings → Team and click Leave account. You go back to your own account.

Tips

  • Give clients the Viewer role. They can follow rankings and reports without changing anything or seeing billing controls.
  • Keep the number of Admins small. Admins can manage billing, invite people and create API keys, and an API key has full access to the account.
  • Use the Invitation links shown on the Team page when invitation emails end up in spam or are blocked by a company filter.
  • For client-facing PDFs with your own logo, see Settings → Branding and the Reports guide.

FAQ

Does the account owner count as a seat?

No. Seats are only for the people you invite. On Starter you can invite one person in addition to yourself.

Can an editor upgrade the plan or buy add-ons?

No. Billing (plan changes, add-ons, usage packs and credit codes) is limited to the owner and admins. Editors and viewers see a note that only the account owner and admins can manage billing.

The invitation says it was sent to another email. What do I do?

Invitations only work for the address they were sent to. Sign out, then sign in or create an account with that exact email. You can also ask the owner to remove the invitation and invite the address you actually use.

What happens to a member's work when I remove them?

It stays. Projects, keywords, prompts and links belong to your account, so everything they added remains in place. The person simply loses access.

Who receives alerts for the account's projects?

They go to the account's notification settings: the owner's email and Telegram, and any Slack or Discord webhooks set up for the account. Only owners and admins can change them. See Notifications.

Can I belong to more than one team?

Yes. You can accept invitations from several accounts and switch between them from the profile menu. Your own account always stays available as My account.
